Warrandyte Kindergarten Committee of Management

Warrandyte Kindergarten is a community-managed service, run by a dedicated Committee of Management consisting of volunteer parents and guardians with children at the kindergarten.

The committees core purpose is to ensure the overall operation of the kindergarten is safe, compliant, and supportive of a quality early learning experience.

Key responsibilities and roles

The committee is responsible for the strategic management of the kindergarten.

Key responsibilities include:

  • Ensuring compliance with relevant laws and regulations.

  • Making sure the financial affairs of the service are in order.

  • Recruitment, selection, and evaluation of staff members.

  • Updating and implementing policies and procedures.

  • Coordinating facility maintenance and improvements.

Committee structure overview

The committee structure is built on three types of roles, each supporting the kindergarten's operation.

Committee role summaries

Executive Committee Members

  • President: Chairperson, oversees operations, coordinates running of the kindergarten, acts as official spokesperson.

  • Vice President: Assists the President, oversees grant opportunities, proofreads policies, and steps in during the President's absence.

  • Treasurer: Oversees the management of finances, coordinates the annual audit, and manages the outsourced bookkeeping/payroll.

  • Secretary: Maintains official records (e.g., membership register, minutes), manages meeting logistics, and coordinates the volunteer roster (e.g., Market Parking).

General Committee Members

  • Staff and Committee Liaison: Attends committee and Staff meetings to facilitate communication and planning, and encourages community feedback.

  • Policies Officer: Updates, edits, circulates, and manages the website/hard copies of kindergarten policies.

  • OH&S Officer: Ensures workplace safety and regulatory compliance by conducting inspections and managing the OHS Action Plan.

  • Fundraising Coordinator: Manages campaigns and events, leads the team of Fundraising Officers, and develops the annual strategy.

  • Marketing/Communications Officer: Manages the website, social media (Facebook), and undertakes marketing activities for the kindergarten.

  • Maintenance Coordinator: Coordinates regular and major facility maintenance, manages working bees, and liaises with Council on maintenance.

  • Assistant Treasurer: Supports the Treasurer with budget preparation and verifying/approving accounts payable.

Support roles

  • Fundraising Officer (x4): Actively participates in the planning and implementation of fundraising events, including leading one activity per year.

  • Festival Stall Coordinator: Plans and manages all aspects of the Festival Stall, including sourcing goods and coordinating volunteers.

  • Grants Officer: Researches, liaises with the committee/staff for project needs, and applies for local, regional, and national grant funding opportunities.

  • 4YO Group Parent Representative: Fosters 4YO group social engagement, organises class functions, assists with CoM communication, and coordinates the Festival Parade float with volunteers.

  • 3YO Group Parent Representative: Facilitates 3YO group social engagement (e.g., communication groups, functions) and acts as the primary communication liaison between 3YO families and the Committee.

  • Kitchen Garden Coordinator: Leads the management, planning, and maintenance of the Kitchen Garden. Organises holiday watering and collaborates with staff on seasonal planting and activities.

  • IT Officer: Provides essential IT support to staff and Committee, including purchasing equipment, managing software installation, ensuring data backup and security, and resolving technical issues.

  • Library Coordinator: Manages and maintains the kindergarten library collection. Duties include database management, repairing books, removing outdated materials, and liaising with the local library.
